Multiple Pages per Sheet

Print 2, 4, 6, 9 or 16 pages on one sheet to save paper.

A 60-page lecture deck, a long contract you want to read on the train, a handout for a meeting: printing one page per sheet wastes paper and makes the stack heavy. This tool arranges several pages of your PDF on each sheet, in two, four, six, nine or sixteen to a page, and gives you a new PDF to print or share. It's done on your device, so the document never leaves it.

How to put multiple pages on one sheet

  1. Open your PDF.
  2. Choose how many pages per sheet: 2, 4, 6, 9 or 16.
  3. Pick the sheet size (A4, US Letter, A3 or Legal) and the orientation. Automatic chooses the layout that suits the grid, usually landscape for 2-up and 6-up.
  4. Set the margin and the gap between pages, and decide whether to draw a thin border around each one.
  5. Click Create PDF. A line under the options tells you how many sheets you'll get.

Which layout should I choose?

2 per sheet keeps text at a comfortable size and halves your paper; it's right for most documents. 4 per sheet shrinks each page to a quarter and is fine for slides and large print. 6 and 9 per sheet suit lecture slides and drafts, where you'll be reading headings, not small print. 16 per sheet is for thumbnails or an overview. A rule of thumb is that anything smaller than about 7 pt in the final print becomes hard to read, so if the text looks tiny in the preview, step down.

Reading order

You can fill each sheet "left to right, then down", which is how we read, or "top to bottom, then across", which some people prefer for columns of slides. Pages keep their original order from the first sheet onward, so sheet one has pages 1 to 4, sheet two has pages 5 to 8, and so on. Page borders help the eye see where each page begins, which is particularly handy for pages with white backgrounds.

Saving paper and money

  • Print double-sided as well as multiple-up: 4 pages per sheet, both sides, is 8 pages on one sheet of paper.
  • Make it black and white first with PDF to Grayscale to use less ink.
  • Trim wide margins with Crop PDF so the content fills more of each small page.
  • Remove pages you don't need with Delete PDF Pages before arranging.

A worked example

You have a 36-slide presentation and want a handout that fits on three sheets. Open the PDF, choose 6 per sheet, A4, Automatic orientation, a small gap and borders on. The tool creates a 6-page PDF with six slides on each sheet, in landscape, ready to print double-sided. The whole deck now fits on three sheets of paper instead of thirty-six, and every slide is still perfectly readable.

Different page sizes and rotated pages

Pages in the original don't all need to be the same size. Each page is scaled to fit its cell without being stretched, and pages that are stored sideways are turned the right way up. A mix of portrait and landscape pages will still look sensible, though portrait pages in a landscape grid will have white bars at the sides. Preparing a handout

For a meeting pack, put pages in order with Organize PDF, add page numbers before arranging so each small page keeps its own number, and consider a watermark if the handout is confidential. If you're combining several documents, merge them first. For the opposite job, turning a sheet of several pages back into single pages, you'll need the original file. As always, the file stays on your device throughout.

Troubleshooting

If text looks too small, reduce the number of pages per sheet or increase the sheet size. If pages are cut off, make sure the margin is large enough for your printer, since many can't print the last 5 mm at the edge. If a page appears with white bars, its proportions differ from the cell; that's normal, and the content isn't stretched. If the order looks wrong, try the other reading order, and check the number of sheets in the summary line. Print one test page before you run a long job.

Printing tips

When printing, choose "actual size" or "100%" in your print dialog, not "fit to page", otherwise the printer may shrink the already-arranged sheet again and leave wide margins. For double-sided printing, choose "flip on long edge" for portrait sheets and "flip on short edge" for landscape sheets, so the back isn't upside down.

If you print these sheets often, save a small note of your favorite settings, such as "6 per sheet, A4, landscape, borders on, gap 4 mm", so you can reproduce the same handout style every time. Consistent handouts look professional and save you from re-testing layouts.
